Rootd. and its wholly owned operating entities, subsidiaries or affiliates, (for the purpose of this policy - “Rootd.”, “we”, “our”, “us”) respect your privacy and are committed to protecting it. This policy will explain how our organization uses the personal data we collect from you when you use our website or services.


This privacy policy is applicable for ALL Rootd. websites (“Websites”) and services, and governs the privacy of its users (for the purpose of this Policy – “visitors”, “users”, “members”, “you”, “your”) who choose to visit the website. Our policy relates to any information that can be associated with an individual (“Personal data” or “Personal information”)) and lays out the foundation on which any data you provide us with or is collected from you will be shared or  processed by us. 


Who is Rootd.?

Rootd. is a Netherlands-based initiative with the aim to unlock human capital within the Dutch Muslim community and cultivate a culture of participation towards tackling some of society’s most pressing social and environmental challenges. We provide Muslim professionals with educational content relating to subjects on Islam. We also organise events ( including workshops, trainings, courses, networking events - for the purpose of this Policy “Events”)  to connect Muslim professionals within Europe and The Netherlands. What data do we collect?

Rootd. collects the following data:

Personal data: For all users, subscribers and registrants of our Services we collect the following details- your full name, your email ID, your phone number, your address, your password for the purpose of website login, your IP address, any demographic data you have consented to provide us with (e.g. your employment status, ethnicity, religious affiliation, country location and any other data you provide us through survey responses), and  any information which may not be Personal data but may become Personal data if combined with other personal or non-personal information. This information may be downloaded or exported for internal and operational use and administrative purposes. We may on occasion share this information to partners for purposes consistent with our activities and mission.

Non-personal data or other data: For all visitors of ALL Rootd. websites, we may collect non-personal data which could include technical data sent to us from mobile devices, a computer used by you, geography, statistics of your activities, survey popular content, traffic source, location data, weblogs and other communication data, search engine query, or any other data collected by cookies.

Record of correspondence: We may collect and record copies of any correspondence you have/had with Rootd.

How do we collect your data?

You directly provide Rootd. with most of the data we collect. We collect data and process it when you:

  • Register online or purchase any of our services or products.

  • Voluntarily complete a survey or provide feedback through our website, third party social media platform providers or via email.

  • Use or view our website via your browser cookies. 

How do we store the data we collect?

We may store your data electronically or manually through the use of secure services and encrypted hardware. We will retain the data you provide us with, including Personal data, for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, research or reporting, and to a maximum of 10 years. To determine the appropriate retention period for Personal data, we take into consideration the amount, nature, and sensitivity of the Personal data, the potential risk of harm from unauthorized use or disclosure of your Personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means and the applicable legal requirements. Your Personal data for any purpose will not be retained for longer than it is necessary for the purpose it was collected for. Transaction data will be retained for up to 2 years.

If you seek access to, or wish to correct, amend or delete inaccurate data, you should contact us at info@rootd.nl. If you request us to remove the data, we will respond to their request within 30 days. For further information please refer to the section on users’ data protection rights.  

How do we use the data we collect?

The data we collect allow us to conduct the following activities on the basis of your consent and/or our legitimate basis:

  • To keep you updated on our services and activities when you subscribe to our mailing list/newsletters/notifications 

  • To fulfil our obligations based on the contractual agreements made between us and you. 

  • To inform you of any amendments or additions to our activities and services at our discretion. 

  • To ensure that content from all Rootd. Websites and Platforms is useful and optimally presented according to your preferences and technical needs of your computer

  • To send you invitations, organize and be able to operate our Events

  • To provide you with information, products or services requested by you from us

  • To request your feedback and send surveys in order to research and analyze user engagement with and interest in our products, services and content

  • To contact you regarding participation in our Events

  • To promote and introduce existing or new products and services offered by us or our affiliated entities, which may be of interest to you, via email, telephone, post and/or mobile devices

  • To optimally tailor our Website experience to the interests of visitors, members or users and present content according to user functionality

  • To improve and optimally tailor our Products, Services and Events according to your needs and preferences, and communicate with other users or members before, during or after our Events

If you have agreed to receive marketing material or updates regarding Rootd.’s products, Services and activities, you may always opt out at a later date. You have the right at any time to stop Rootd. from contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes, please refer to this page or email us at info@rootd.nl with subject line “Unsubscribe”.

Sharing your personal data with others

Rootd. is committed to protecting the privacy of our Users. We do not provide personally identifiable information to third parties, except as described in this policy. We may share your personal information with any of our affiliates or subsidiaries. We may also share information with third parties that provide support services to facilitate communication and transactions between Rootd. and its user or members, only to the extent necessary for the purpose of processing payments and refunds, or dealing with queries and complaints relating to such payments and refunds. We may share information you provide with our third parties for the purposes of providing content and services on our website. These third party websites automatically receive your IP address when you use or interact with our websites, and they may also collect information from your interaction with our websites including computer and connection information, standard web log information. Such information does not identify you individually. We use third party analytics (such as Google analytics) to track the number of visits to and user engagement with our website and improve our website. We may share information provided through virtual event platforms should we host any virtual events. We may share your information with other members or participants of our Events to improve the experience and interaction amongst participants. We may store your personal information in locations (such as servers with hosting service providers) that are outside the direct control of Rootd. We may also transfer or assign such information as necessary in case of change in third party service provider, mergers or dissolution.

What are your data protection rights?

Rootd. would like to ensure you are fully aware of your data protection rights:

  • The right to Access: You have the right to request of Rootd. copies of your personal data. We may charge a small fee for this service 

  • The right to Rectification: You have the right to request that Rootd. correct any information you believe is inaccurate. You also have the right to request of Rootd. to complete information you believe is incomplete.

  • The right to Erasure: You have the right to request that Rootd. erase your personal data under certain conditions.

  • The right to Restrict Processing: You have the right to request that Rootd. restrict the processing of your personal data under certain conditions.

  • The right to Object to Processing: You have the right to object of Rootd.’s processing your personal data under certain conditions. 

  • The right to Data Portability: You have the right to request that Rootd. transfer the data we have collected to another organisation, or directly to you under certain conditions.

Any requests related to the above should be sent to info@rootd.nl.  We will respond to your request within 30 days. In order to process such a request we may require proof of identity to be sent with the request. This is to protect your privacy and ensure the request was made by you. 

Legal matters

We may share your personal information with third parties as permitted by, or to reasonably comply with applicable laws, regulations or legal request for the following purposes: to protect against fraud, security or any other issues; safety or vital interests of any natural person; to cooperate with law enforcement or regulatory authorities and to protect Rootd’s rights or property. 

Please be advised that Rootd is not responsible for the collection, usage and disclosure policies and practices (including the data security practices) of third party organizapp developers, app providers, social media or virtual events platforms.

Security

We will use our reasonable commercial efforts to protect your Personal information, however we cannot guarantee its absolute security because the transmission of data over the internet is never 100% secure.

Changes to the Policy

Rootd. reserves the right to amend, update, change or modify this Policy at any time, with or without prior notice to the user. The revised Policy shall be effective immediately, once posted on the website. If any changes are made, you will be informed/ or notified at our sole discretion by either of the following methods - via our website, by newsletter, email or any other method we deem fit for sharing such information. You are required to visit our website periodically to review our Policy and keep informed of any revisions. If you visit any other site referred on our website, the same shall be governed by the privacy policy of such sites.

Dispute resolution and governing law

By accessing our Websites, you and Rootd. agree that all matters relating to your access to, or use of such Websites shall be governed by and construed in accordance with the laws of The Netherlands, without giving effect to any principles of conflicts of law. All disputes regarding this privacy policy will also be resolved under the law of The Netherlands.
